The Need
The West Midlands ICT Cluster has a strategy group comprising around 16 people from the private and public sectors who come together four times a year to develop strategy and approve project funding applications. In addition, 20-30 people are involved in task group and project work, all from different organisations with their own IT constraints. The Cluster Manager needed a simple web solution to provide access to information and manage meetings.

The Solution
The team were provided with a VHQ WebOffice solution by one of the committee members who helped the team to setup and use the system. Primarily the team uses document management features to store and share information; contact details to keep connected; and calendars for important events. Viretec was engaged to develop formal virtual working practices to help the team get more work done between quarterly meetings, the most important aspect of which is online decision-making and agenda setting. This approach was designed to get more from their members precious voluntary time.

The Outcome
The ICT Cluster Group has used a WebOffice solution for over 3 years. As members and Cluster Managers change, the system usage changes to reflect their needs and preferences, but throughout this time nothing changed until a conscious decision was made to formalise virtual working practices.
